Where to look for eroom indexing problem?

As usual,need to collect the logs and analyse, as below.

1. Check for the eroom/facility where search is not available.And look for logs in that facility.
2. Generally,Event Viewer should throw an error message for the indexing error in the particular facility.
3. You can check for failedoperations.csv file in the eroomdata directory.
4. eTrace logs can provide most useful information.Found at …eRoomData\..\eTrace folder
5. .log files are found int he same directory,for ech index,eroom maintains.

The eroom webserver extension provides three different clients to access the webserver and the applciaiton.They are described as below.

-1- The browser interface uses http and built with ASPs.It supports web brwser access to the eroom server for manipulation of objects within the server.

-2- The eRoom Webservice interface provides webservice access to the eroom server,allowing external applications to manipulate the eroom content and metadata.The webservice is based on SOAP over HTTP or HTTPS.It supports web service definition language (WSDL) and compatible with universal description discovery and integration (UDDI) standards.Queries to the eroom server can be issued via eXQL language to manipulate objects and retrieve data.eXQL takes help of server APIs to access server data.

-3- The third one is WebDAV (WebDAV stands for Web-based Distributed Authoring and Versioning is used to publish and manage files and directories on a remote web server.)interface which can be used to access the eroom server.WebDAV clients such as Windows Web folder can access eroom via a protocal called Internet Engineering Task Force (IETF) Standard webDAV protocol. So, a group of users can collaboratively perform different functionson the website.WebDAV connections can be made using standard tools like Dreamweaver.

eRooom application back end databases for data organisation.There are a few points,every eroom administrator must be aware of.

1. Every eRoom Facility is having a database.Whenever a facility is created,there is a database created,containing corresponding tables for the facility.
2. There is a Site database (eRoom_eRoomSite) which contains tables for the site like Community,Facility,Room,Members etc.
3. eRoom_eRoomSiteUsage database contains all tables that are specific to the usage of the site by members of the eroom.
4. The System databases include Master,Model,MSDB,tempdb
5. The Databases are owned by “dbo” owner.

• Section 1 - Backing Up eRoom data

eRoom components that need back up are,

• Data directory - The eRoom Data directory stores important data such as the mail spool,
  eRoom extensions and the Documentum Foundation Classes working directory (if you
  are using eRoom Enterprise).However, do not back up the \~FullText and \~Logs directory.

• File Server - You specified an eRoom File Server directory when you installed eRoom. It contains files uploaded to eRoom 7.Make regular backup copies of your File Server directory or directories.

• Databases - (site, facility, and usage) : eRoom creates these databases for containing member and licensing data, metadata about eRoom objects and files, and native eRoom objects (such as notes, polls, calendars, etc.).Database backups create a duplicate of the data that is in the database when the backup completes.The restored database matches the state of the database at the time the backup completed, minus any uncommitted transactions.

The eRoom export/import functionality can be used as a means of archiving eRooms or facilities.

Considerations for backup and restore,

• Recovery criteria – Backup and restore processes should be planned together, since both affect each other. Among other things, determine how much data loss is tolerable and how quickly the data must be restored if a failure occurs.

• Testing – Be sure to test your backup and restore processes periodically to ensure that they are working properly.

• Hardware – Redundant Array of Independent Disks (RAID) solutions dramatically reduce the likelihood of data loss due to disk-related failures. Redundant power supplies and cooling fans provide fault-tolerant protection if the primary component fails.

• Location – The location of data and the degree of its physical separation affect the backup and restore strategy. For example, because of severe relative bandwidth limitations, avoid backing up large data packages across a Wide Area Network (WAN). T1 lines with a throughput of 1.54 Mbps may provide inadequate bandwidth compared with the Fast Ethernet (100 Mbps) or Gigabit Ethernet (1,000 Mbps) connections in modern data centers.

• IIS configuration – Security settings, SSL certificates, and custom web applications installed on the eRoom web server should also be taken into consideration when developing your backup strategy so they can be recreated if necessary.

This topic discusses some indexing facts in eroom Advanced installation.

1. Indexing is a background task that runs on an indexing server and is managed by the eRoom Scheduler service. The Scheduler indexes the content of all files in eRoom so they are included in eRoom searches.
2. eRoom Advanced installation is a multi-server application, in which the web server, indexing server,
   database server, and file server typically reside on different machines.
3. While it is possible to install the eRoom 7 indexing server on the database server or the web server, it is recommended that you install it either on a separate server, or on the file server itself. Do not install the indexing server on the Real Time Server.
4. All eRoom servers communicate with the indexing server on port 2060.
5. Installing the indexing server before you run the eRoom 7 Advanced installation setup program can save you time.
6. Indexing runs every five minutes by default, and is configurable in the eRoom MMC snap-in by right-clicking “eRoom Server” and picking Server Tuning.
7. eRoom 7 creates one full-text index per facility. Indexing can be enabled or disabled for the entire site on the Scheduler page of Site Settings.
8. Site administrators (or community administrators with “rebuild facility indices” permission) can rebuild indexes for individual facilities using the “rebuild index” button on the General page of Facility Settings (which you access via the Facilities page of Community Settings).
9. Back up the eRoom Data directory whenever you perform backups. However, do not back up the
   \~FullText directory. Backing up this directory might cause the full-text index database to fail.
10. You can also exclude the \~Logs directory from backups because this directory will be recreated the next time eRoom is run.
11. The eRoom indexing process requires exclusive access to the full-text database files at all times in order for eRoom searching and indexing features to work correctly.
12. File-locking during a back-up process disrupts that exclusive access, and this can break the full-text index. In such cases, the full-text index must be completely rebuilt, which, if a facility contains many documents, can take a significant amount of time.Hence,be sure to exclude the eRoom full-text database files from the backup.
13. The location of the full-text database files depends on the eRoom configuration.
    For an eRoom Standard installation, exclude the following folders from backups:
    <eRoom server data>\~Fulltext
    <eRoom file server>\~Fulltext
14. For an eRoom Advanced installation, the full-text database files may be located on more than one server,depending on how the site is configured.
    • If the site has eRoom servers that also function as indexing servers, exclude from backups the<eRoom server data>\~Fulltext folder on each of those servers.
    • If the site uses standalone indexing servers, exclude from backups the <eRoom data>\~Fulltextfolder on each of those servers.
    • On each eRoom File Server, exclude from backups the <eRoom File Server>\~Fulltext folder.
15. eRoom displays errors in the Windows server event log. eRoom also creates a FailedOperation.csv file in the data directory you specify for the index files. Additionally, .log files are created within the same directory for each index eRoom maintains. Lastly, eTrace is the most useful utility to diagnose indexing problems. Enable the etrace settings for Full Text Index at 5 and recreate the indexing problem. Technical support may request the eTrace, Windows event logs, .csv file, and .log files when troubleshooting indexing issues.
16. An eRoom file that is linked to the Content Server is indexed like any other eRoom file.physical linked file is stored in the Content Server, but is indexed in both eRoom and the Content Server. From an end user’s point of view, searching the eRoom or the site level works exactly the same whether the eRoom file is linked to the content server or stored in eRoom.
17. Note that in eRoom 7, the eRoom application does not cache the linked file on the eRoom
    web server. Instead, eRoom retrieves the file from the Content Server every time it needs to be
    indexed.

What services are involved with eroom running?

First of all,eroom runs on an webserver IIS.

So the first and foremost service is IIS Admin Service. There are two related service to IIS Admin Service;they are World wide web publishing Service (Provides Web connectivity and administration through the Internet Information Services Manager) and HTTP SSL service (This service implements the secure hypertext transfer protocol (HTTPS) for the HTTP service, using the Secure Socket Layer (SSL). If this service is disabled, any services that explicitly depend on it will fail to start).

The other services are:

eRoom Diagnostics:

For diagnostic pupose.This helps to gather the diagnostic report for troubleshooting purpose.Must be running always.

eRoom Scheduler :

The Scheduler runs nightly tasks as well as background tasks throughout a 24-hour period. Nightly tasks typically run overnight, but you can choose any specific time to run it. You can also suspend and resume its operation, and enable or disable each task on this list separately.

eRoom Heartbeat:

Overall Health monitoring. Not very critical for the functioning of eroom.

eRoom Site Messaging:

It’s only in Advanced installation of eroom.

SQL Server can also execute stored procedures in other remote servers and supports distributed queries that retrieve data from multiple sources, not just SQL Server.SQL Server allocates computer resources effectively between multiple concurrent users. It also enforces business rules defined in stored procedures and triggers, ensures the consistency of the data, and prevents logical problems such as having two people trying to update the same data at the same time.

SquidNT 2.5.STABLE10-NT WWW Proxy Server. Squid is a caching proxy for the Web supporting HTTP, HTTPS, FTP, and more. It reduces bandwidth and improves response times by caching and reusing frequently-requested web pages. Squid has extensive access controls and makes a great server accelerator. It runs on Unix and Windows.It depends if you have implemented the service or not.

-5- Collect the members in the specific eroom in a collection by using Facility.MemberManager.GetMembers(erMemFlagUsersOnly)
-6- find the last login date using the property LastLoginTime(member)

-7- Traverse through the collection
-8- Print output to a text file
-9- The status for each user can be output till the collection ends. A For-Next loop can help in this.
-10- close the output stream.
